The service
Ordavena provides an online management tool (quotes, invoices, payments, reminders, reports, AI assistance) available by subscription. The service is provided « as is », under continuous improvement; features may evolve.
Business customers only
Ordavena is intended exclusively for professionals (companies, freelancers, liberal professions) acting in the course of their business. By subscribing, you declare that you act for professional purposes; consumer law, including the right of withdrawal, does not apply. Online subscription is open to businesses established in Belgium and, subject to a valid intra-EU VAT number, in another Member State of the European Union.
Pilot phase
During the pilot phase, access to Ordavena is reserved for invited testers and provided free of charge, without commitment. The service is still being stabilised: interruptions and feature changes may occur, with no availability commitment. The data you enter is real data, processed in accordance with the data processing agreement and the privacy policy. The end of the pilot phase or the move to a paid subscription is announced at least 30 days in advance; you can then export all your data or request its deletion. No payment is requested without your explicit subscription.
Account and access
Creating an account requires accurate information. You are responsible for the confidentiality of your credentials and for the actions taken from your account. Notify us without delay of any unauthorised use.
Subscription, price and renewal
The subscription is €49 excl. VAT per month or €499 excl. VAT per year; for the first 100 customers, €39 excl. VAT per month or €399 excl. VAT per year (price kept as long as the subscription remains active without interruption). Everything is included, no hidden fees. Subscriptions renew automatically at each term unless cancelled.
Payment, VAT and invoicing
Payment is due at subscription and then at each term. It is collected by our payment provider Mollie B.V.; the first payment authorises the collection of subsequent terms. The subscription is only activated once payment is confirmed. Belgian VAT (21%) is added to prices for businesses established in Belgium; for businesses established in another Member State with a valid VAT number, the reverse charge applies. An invoice is issued for every payment, in structured electronic form (Peppol) where the law requires it. If a charge fails, we notify you; failing regularisation, access may be suspended.
Your data belongs to you
You remain the owner of all data you enter. It can be exported at any time (CSV, full archive), even after cancellation — never any forced retention.
Cancellation
You can cancel at any time from your settings. Cancellation stops future charges and takes effect at the end of the paid period, without penalty and without pro-rata refund of the current period. Exporting your data remains available. We may suspend an account in the event of a serious breach of these terms or persistent non-payment, after notice where possible.
Acceptable use
You undertake to use Ordavena in accordance with the law and not to compromise its security or availability (intrusion attempts, deliberate overload, circumventing limits, fraudulent use). Any misuse may lead to suspension of the account.
Your responsibilities
You are responsible for the accuracy of the data you enter and the compliance of your documents with your obligations (invoicing, VAT, retention). Ordavena equips your management but provides neither accounting, nor legal or tax advice.
AI assistance
Content produced by the AI assistance (brief, analyses, drafts) supports your decisions: review it before use. No sensitive action is executed without your explicit confirmation. The AI assistance must not be used to recruit, select, evaluate or make decisions about workers or candidates.
Intellectual property
The software, brand and content of Ordavena remain the property of its publisher; your subscription grants you a personal, non-exclusive right to use it for the duration of the subscription. Your data and documents remain your property.
Availability and liability
We aim for high availability without contractually guaranteeing it at this stage. To the extent permitted by law, our liability is capped at the amount you paid over the last twelve months. We cannot be held liable for indirect losses.
Changes to the terms
These terms may evolve. Any significant change is flagged on this page and, where relevant, by email; continued use constitutes acceptance.
Governing law
These terms are governed by Belgian law. Any dispute falls within the exclusive jurisdiction of the courts of the judicial district of Liège (Belgium). The data processing agreement (DPA) published on this website forms an integral part of the contract; in case of conflict, the DPA prevails as regards personal data.
